The short version

The term is real on every lease. The clauses around it decide what it costs.

A copier lease is a real commitment. It runs 36 or 60 months, it cannot be cancelled in the middle, and every dealer's lease works that way, including ours. What separates one contract from another is what sits around the term. An auto-renewal clause turns a missed notice window into another full year. A page minimum charges you for pages you never printed. An overage rate bills the pages you did print at a higher number than the one you were quoted. A scan charge meters documents that never touched paper, and in the same clause, service is often written into the lease itself, so you cannot drop a bad service provider without breaking the equipment contract. Read those four clauses on page one before you read anything else.

This is what the four clauses look like on paper.

The wording below is typical of what we see when an office sends us its current lease. Nothing here is from any one company. Every line of it is common.

1. Term. The initial term of this Agreement shall be sixty (60) months commencing on the date of acceptance of the Equipment.

2. Renewal. This Agreement shall automatically renew for successive twelve (12) month terms unless Lessee provides written notice of termination not less than ninety (90) days prior to the expiration of the then-current term.1

3. Minimum volume. Lessee agrees to a minimum monthly volume of 5,000 black and white images and 1,000 color images, billed whether or not such volume is produced.2

4. Excess images. Images produced in excess of the monthly allowance shall be billed at 1.5 times the base rate per image.3 Rates are subject to an annual escalation of up to ten percent (10%).

5. Scanning and service. Scanned images shall be counted as images for billing purposes. Service and supplies are provided under this Agreement and are not severable from the equipment lease.4

6. Assignment. Lessor may assign this Agreement and its right to receive payments without notice to Lessee.

Auto-renewal

Look for "automatically renew" and a notice window. Miss it by a day and you owe another year. Ours ends when the term ends.

Page minimum

Look for "minimum monthly volume." You pay it whether you print it or not. Ours has none.

Overage rate and escalator

Look for "in excess of" with a multiplier, and an annual escalation. Ours bills every page at the same published rate, with no escalator.

Scans counted, service bundled

Look for scans billed as images and service "not severable" from the lease. Ours meters no scans, and the Coverage Plan is a separate month-to-month agreement.

Auto-renewal

Many leases renew for another full year unless written notice reaches the leasing company 90 to 120 days before the term ends. Miss the window by a day and you own another twelve payments. Ours ends when the term ends and rolls month to month until you sign something new.

Page minimums

A monthly page allotment fixed on a guess made before the machine was installed, for the whole term. Print under it and nothing is credited. Ours has no minimum.

Penalty overage rates

The per-page rate you were quoted applies inside the block. Above it, a higher rate applies, sometimes double. Ours bills every page at the same published rate.

Scan charges, and service written into the lease

Some contracts meter every scan as a page. Some fold service into the equipment lease so that leaving the service provider means breaking the lease. Ours meters no scans, and the Coverage Plan is a separate month-to-month agreement you can cancel without touching the lease.

How does a copier lease work?

You pay a fixed monthly amount for 12 to 60 months, most often 36, for the machine, with delivery, installation, and training included. Service is a separate agreement billed per page. At term end a fair market value lease ends: you return the machine, renew onto a newer one, or keep going month to month while you decide.

Is it cheaper to buy or lease a copier?

Over the years you keep the machine, buying costs less in total. Leasing spreads the cost into a monthly number and hands you a newer machine at term end instead of an aging one. Ask for both on one quote and let the gap decide.

Can you get out of a copier lease?

Not in the middle. A lease runs its full term or you buy out the remaining payments. That is true of every dealer's lease, which is why the term length and the auto-renewal clause matter more than the monthly number.

How much does it cost to lease a copier?

It depends on the machine, the term, and how many pages you print. One rate sheet, same for every office. Ask and we will send it.

What does fair market value mean?

At the end of a fair market value lease you can return the machine, buy it at its then-current value, or renew. It is the standard structure for office equipment and the one we quote.

Should I buy a copier online?

Only if you have someone to install it, set up scanning on your network, and service it when it fails. A machine with no local technician behind it is the most expensive one you can buy.

What should I ask a vendor before I sign?

Five questions. Does the lease auto-renew, and what is the notice window? Is there a page minimum? What is the rate above the block? Are scans metered? Can I cancel the service agreement without breaking the lease? If any answer takes more than a sentence, read page one again.
